About the Role
The role is to support E4L’s Senior Leadership Team in delivering an efficient and
effective service that meets the requirements of providers, Ofsted and also the
Young People in care aged 16 - 18 years old in semi-independent homes provided by
Equipped4Life (E4L) staffed 24 hours a day.
Job Description
Main duties & Responsibilities
Supporting E4L Senior Leadership Team with administrative duties
Implementing & maintaining procedures/office administrative systems
Working closely with our Business Processing Manager
Supporting in the recruitment of new staff including the administration of training & induction processes.
Organisation of Team events and training
Attend meetings and take minutes as directed by SLT
Take responsibility for any administrative tasks and services allocated by SLT
Supporting the E4L service to deliver HR & Payroll, health and safety, office management, data protection, communications and recruitment
Work closely with the SLT to ensure that the organisation operates effectively across all services.
Recruitment
Assist in the recruitment process, including referencing and onboarding new employees.
Preparing recruitment materials and posting jobs to appropriate job boards
Screening candidates resumes and job applications
Conducting pre-interviews using various reliable recruiting and selection tools/methods to filter candidates.
Inviting candidates to interview
Keeping up to date records of recruitment outcomes
HR
Recording and processing confidential information
Helping with the team rota
Manage the administration of all employee records and HR systems and databases.
Ensuring accurate and proper record-keeping of employee information in electronic and digital format.
Ensure compliance with Right To Work and that staff have the necessary documentation such as enhanced DBS
Compliance
Ensuring maintenance of up to date records related to E4L’s business activities (For example: Health and safety checks, maintenance logs, staff documents, staff supervisions)
Stock control in the houses – cleaning products & stationery etc
Payroll
Carrying out administrative functions associated to Payroll
Verifying employee working hours & reviewing employee timesheets
Placement Liaison
Developing and maintaining business relationships with Local Authorities and Social Workers in order to gain referrals of Young People
Maintaining and updating relevant contacts
Communicating with LA’s regarding vacancies
General
Attend staff meetings and training sessions as and when required.
Attend structured supervision sessions every 6-8 weeks.
Be aware of your responsibility under the Health and Safety at Work Act, to maximise the safety of young people and staff.
Report any incidents, complaints and safeguarding concerns to your line manager.
Represent E4L in a positive manner at internal/external events.
To manage own time and tasks effectively i.e. complete all required tasks for each day
Undertake other duties as required by SLT, and commensurate with the post.
Requirements
Essential:
Experience of working within policy and procedures and professional boundaries
Knowledge of confidentiality and data protection
Administrative experience
Excellent organizational and time management skills
Strong attention to detail and accuracy in data entry and record keeping
Proficient in using office software such as Microsoft
Effective and confident communication skills, both written and verbal
Ability to prioritize tasks and work independently or as part of a team
Strong problem-solving skills and ability to adapt to changing priority
Ability to work as part of a team
Use initiative
Hybrid role – minimum 1 day a week in the office
